Abstract:
Introduction
Influenza vaccination campaigns in large health services (mandatory in Victoria since 2020) require determining vaccination status for thousands of staff across multiple sources: Medical Records, Australian Immunisation Register (AIR), declination and contraindication records, leave schedules, and employment systems. Staff Immunisation and Exposure Management (SIEM) teams support campaign delivery and frequent managerial requests for vaccination status. We developed an integrated live dashboard giving managers real-time visibility of staff immunisation status, alongside an automated system delivering targeted prompts to managers of 13,000 staff. This decentralised data access and delivered personalised vaccination intelligence whilst enabling automated behavioural prompting.
Methods
A live Power BI dashboard consolidates staff vaccination data hourly, accessible to over 700 managers with role-based access restricted to direct reports. Aggregated views enable program-level comparison, supporting performance visibility. Power Automate delivers weekly personalised emails to managers with non-immune staff, including an inline summary and dashboard link.
Results
During the 2025 influenza campaign, the dashboard recorded 5,900 views from approximately 500 unique managers, becoming the most accessed dashboard organisation-wide. Weekly usage increased by an average of 10%, despite a shrinking notification cohort as managers achieved full compliance. In 2026, approximately 900 views were recorded within the first 30 days. Engagement consistently spiked following weekly notifications.
Conclusion
Personalised nudge notifications combined with role-based dashboard access decentralised vaccination data management, reduced SIEM administrative burden, and drove sustained engagement. Whilst the direct impact on compliance is difficult to quantify, this is one measure supporting workforce growth from 7,000 to 13,000 staff without scaled SIEM resourcing.
