Guidelines – ePosters

Thank you for presenting an ePoster at the 2023 ACIPC Conference

The following guidelines and resources are designed to assist with your preparation and participation.

ePosters will be shown on large touch screens in a dedicated display area of the exhibition hall throughout the conference, and on the conference app, website and online conference portal.

All ePoster presenters are required to register and attend the 2023 ACIPC Australasia Conference. Please register through the delegate portal by 1 October 2023. https://acipcconference.com.au/registration

ePoster Format

  • ePosters must be prepared as a 16:9 PORTRAIT Powerpoint PPTX file.
  • ePosters can be a maximum of 5 slides and include any of the following:
    • JPEG or PNG inserted images
    • Embedded media, such as GIFs, videos and audio
  • Please include on your ePoster all contact details including name(s), organisation name, job title and email address(es).
  • Please upload your ePoster in PPTX format, using the template provided, prior to 1 November to have it included in the ePoster website which will be linked to the conference app, online portal and website.
  • When uploading your ePoster please use the following naming format: ACIPC2023_Lastname_Firstname

ePoster Displays

  • ePosters will be shown on large touch screens in a dedicated display area of the exhibition hall throughout the conference.
  • The touch screens allow delegates to zoom in and out of each ePoster, and play any embedded media included in your ePoster.
  • ePosters will be housed in a specifically designed ePoster website that will be linked to the touch screens, conference app, website and online conference portal.
  • ePosters are to be created using PowerPoint and can contain up to 5 slides. ePosters authors must use the ePoster template, which can be downloaded via the link above.

Tips for creating your ePoster

The ePoster should be a visual presentation of your submitted abstract and should meet the following criteria (please note that this is a guide only and not compulsory):

TITLE
Include the title of your presentation at the top of the ePoster (the title should be the same as in the submitted abstract.).

30 to 40 point font size is recommended for headings.

SIZE
The ePoster must be 16:9 ratio in portrait orientation.

LETTERING
The ePoster should be easily readable. Use UPPER and lower case for general content as the use of all-capital text is difficult to read. Avoid using a mixture of type/font styles.

CONTENT
14 to 20 font size single spaced is recommended. The text should be concise and easy to read.

Best ePoster Awards

All ePoster presentations (onsite and online) will be eligible to win the two best ePoster prizes awarded at the conference as judged by the ACIPC Scientific Conference Organising Committee and delegates respectively.

Both winners will be announced at the Gala Dinner and Awards Presentation Night on Tuesday 14 November.

ePoster Information

WHY PRESENT A ePOSTER?

There are several advantages to presenting a ePoster:

  • ePosters can be viewed throughout the conference
  • Viewers can “absorb” the presentation in their own time/way
  • You can discuss your research at length with viewers on a one-to-one basis – and receive detailed feedback
  • Presenting your research as an ePoster is a wonderful opportunity to “network.” A ePoster serves to explain your research succinctly to colleagues within your own discipline and other related areas.

WHAT IS A ePOSTER? 

A ePoster is a visual medium that you use to communicate a key idea related to your research: It presents that idea in verbal and graphic ways. Unlike an oral presentation, a ePoster does (most) of your talking—it should stand on its own, be self-explanatory (even as it enables conversations with viewers).

WILL MY ePOSTER BE AVAILABLE TO DELEGATES FOLLOWING THE CONCLUSION OF THE CONFERENCE?

All ePoster will be available to delegates via the ePoster website after the event for 3 months.

The ePoster website will be linked to the ACIPC Conference website, delegate app and online platform.

COPYRIGHT

If ePosters are to be used or published in any other format or forum, your specific consent will be requested. Please ensure you have permission to use any images, music or content within your ePoster.

If you do not have copyright permission, your ePoster will not be able to be used or published. Do not include any images copied from the internet. Getty Images and other image agencies crawl the internet looking for images that have been copied without the appropriate licenses.

COPYRIGHT OWNERSHIP

Consenting to have your presentation available in the portal or used in an alternative publication will not affect your ownership rights. The conference committee, or Conference Design will not acquire the ownership rights of your presentation should you agree for it to be included or used.

WILL PEOPLE BE ABLE TO RECORD OR DOWNLOAD MY ePOSTER?  

During the registration process, delegates must acknowledge and agree to the conference Terms & Conditions, which include strict rules around unauthorised photography and recording of conference material.

While these measures can be taken, we cannot enforce this rule in a hybrid environment. The assumption should be made that participants may indeed take unauthorised photographs, screenshots, audio or video recordings, therefore you may wish to adjust the content of your presentation accordingly.
